Overview
The Girl Scouts of Albania (GSOA) is a non-profit organization working to empower young girls and women in Albania by creating skill development opportunities and activities to improve their self-confidence and support their community through service projects. Established in September 2016, the organization is dedicated to the development of girls in Albania to their full potential as leaders and active citizens.
Context
GSOA is a recently chartered organization without any formalized information management processes or procedures. Since GSOA is a newly formed organization that recently became an Associate Member of the World Association of Girl Guides and Girl Scouts. GSOA must now report to its governing body information on its activities. One of the current challenges of GSOA is keeping records of troop membership, and the frequency and categories of program activities across the different troops in the country.
Challenge
The GSOA is a decentralized, volunteer organization operating on a very limited budget. There has been little effort or incentive in the past to keep track of membership and/or activities across all the troops in Albania.
Solution
The consulting team developed a centralized database system that could be used by GSOA to make decisions at the national level. The database system was designed to collect information about girl scout membership, troop leader membership and program activities. The data in the database was used to create a information dashboard to improve understanding of the current situation of GSOA membership and program activities at the central level. The team also provided a manual that provided an overview of the process for implementing an information system for GSOA and data collection forms.
Results
Troop leaders are able to collect key information on scouting activities in troops throughout Albania and use this information for program planning, management, and reporting.
